There is a buzz in the air about the Get The Word Out Symposium: Master the Message-Master the Media coming up October 1 & 2 in Los Angeles. Norma Thompson Hollis, SPEAKERS ETCETRA and myself have been working on this project since January and we are really excited about it. Training Magazine (http://www.trainingmag.com) came out with their 2005 Top 100 last month (companies devoted to developing their employees), with IBM as #1 for the second year. Other statistics from the Top 100:

- These companies spent $4.7 billion on training and development.
- They delivered an average 53.5 hours of training.
- The vast majority (84 out of 100) have a corporate university.

These organizations are dedicated to learning and will invest accordingly. If this isn't a good prospect list, I don't know what is _______________________

The Four Essential Steps to Managing Your Speaking Business

Whether you’re new to the speaking industry or an old pro, speaking businesses are as unique as the speakers they represent. Regardless of the variety, however, there are four essential steps that drive the success of any business, speaking or otherwise. They are: 1) Develop a Strategy; 2) Build the Mechanism; 3) Implement; and 4) Renew.

In developing a strategy, you state the destination and devise the roadmap to get there. Most people are so excited to speak or to start a business that they unknowingly skip this step and let business operations evolve on their own. Big mistake.

The second step is building the mechanism that gets you there: the tactics. What is it that you need to put in place to ensure youll reach your goals? That’s what this step is all about.

And finally, in steps three and four, you’ll need to implement and continually renew yourself, your deliverables and your office to keep pace and keep the dollars rolling in.

#1 DEVELOP A STRATEGY
The other day, our 11-year-old son told us what he wants to do for a living. He said the career might change, but the lifestyle wont. No nine-to-five job for him. Even if it means working harder and longer, he wants a career that affords him flexibility with time and decisions. He added, I want to be able to have money coming in without having to be working all the time. At such a young age, he already has a working knowledge of passive income.

Unfortunately, most adults lack such a strategy. Its not because they’re lazy or stupid, but because it doesn’t occur to them or they just dont know what one is. Seems funny that speakers, the people who teach others about goal-setting, miss this step.

Picture what you want to have in terms of business style and lifestyle. Here are some questions to ask yourself:
1. What type of business do I want to build? Small office with one or two people? Bigger with 10 to 20? One location, perhaps a home office. (Remember, the number of employees and the amount of income you bring in are often inversely related.)
2. Do I want to build a general business or a brand?
3. How often do I want to be on the road?
4. What are my deliverables? Speaking as a keynoter along with breakouts, training, coaching or a mix?
5. Do I want to do back-of-room sales, electronic products, licensed materials? What will I outsource?
6. What’s my reach? Local, statewide, regional, national or international?

Our business goals were simple:
Build a small business with few employees, if any.
Work out of our home, so that we could enjoy our kids while they are growing.
Speak 40 to 70 days a year in an international market.
Work on building a combination of speaking, consulting and coaching products in the business environment through bureaus and our own clients.
Lastly, enjoy the travels while we are young.

What are your goals?

#2 BUILD THE MECHANISM
Building the mechanism is the tactical side of running a business. This mechanism includes the systems, tools and structure used to deliver products and services and carry out the strategy. Thirty years ago, speakers needed a phone, an audiotape and one-sheet. Today, speakers need a Web site, professional demo video, one-sheet, e-zine and a fully functioning office. This office must have:

HARDWARE
1. Phone Purchase one with a high-quality answering machine, or if economically feasible, a good voice-mail system. We thought our callers first impressions were important enough that we invested in a several-thousand-dollar voice system.
2. Copier/Fax - In spite of e-mail, a fax machine or fax software in your PC is still needed. They are cheaper than ever and enable clients and bureaus to send contracts to you quickly.
3. Computer Buy a laptop or desktop with access to the Net.
4. Web site Create your own with Dream Weaver or Front Page. Or get a reliable, affordable Webmaster to do the job.
5. Media Kit Bureaus still rely on one-sheets and demo tapes, so make sure they are part of your kit. Note: Your photo should also be current. (A client from the Netherlands was particularly surprised recently to meet a speaker with whom they contracted that was 20 years older than her picture.)
6. Demo Video I have three pieces of advice here.
a. Clients still show video tapes/CDs in their offices. DVDs have been slow to enter the business climate.
b. Use clips from more than one engagement.
c. Reject the urge to duplicate tapes in bulk to save money. The tapes are pennies to reproduce, and you should be updating the tape regularly.

SOFTWARE
1. CRM-(Customer Relationship Management) This is a program that lets you record phone calls, get a client history and important client/vendor/peer information at your fingertips. Act, Outlook and Goldmine are some of the most common.
2. Accounting- Quickbooks Pro is a simple accounting program used to run almost any small business. Use it to track cash flow.
3. Time Management For 20 years weve found this to be the number-one most powerful tool on our desktop. The key to this software -- whether paper or digital -- is to use it.
4. Tracking Process -- To track bookings. Were in the business of marketing and logistics much of the time. One sure way to screw up your career is to haphazardly plan your travels and overbook dates. Get your own software or use eSpeakers.

PRODUCT
This includes desired product, both in platform skills and presentation content. NSA is great at delivering the technical side. But it is up to you to gain the knowledge and experiences necessary to be an expert in your field. Speaking coach Ron Arden noted how some speakers enter the industry, get swayed by the laughs, remove content and years later, only have laughter left.

Myth buster: the highest paid speakers are not always the best speakers. Celebrities excluded, usually only experts rake in the big money. One bureau has more than 15,000 expert speakers in its database. Motivation is no longer a specialty; its a given. Content that reaches the buyers goals and has long-lasting effects will make you stand out. Can you achieve that?

STAFF AND VENDORS
There are two ways to harness people power: Have a large staff and a big firm or develop systems that do the work of people and stay small. Again, the method you choose is based on your strategy.

If hiring, set up systems, structure and tools so new employees can do their jobs successfully. Hire carefully, with objectives in mind. And ask NSA members who are experts in hiring for helpful tips.

External help (outsourcing) is essential, not a choice. Select only providers who enable you to meet the needs of your clients. Examples are a Webmaster, travel agent, videographers, limo companies, attorneys, insurance agents, PR and speakers bureau reps who earn business. Our first bureau, Speakers Corner in California, is still booking us strong today.

The mechanism through which you structure your business determines how well you implement your strategy.

#3 IMPLEMENT
After you’ve decided what you want and have built the mechanism to get it, you must manage those systems. Though some suggestions might seem obvious, they’re still worth mentioning. To implement:

1. Work the business daily. More than working the stage, you must pay attention to all elements of your business.
2. Write and publish articles and books. Theres a huge secret in the business that everyone knows. Want to make it big? Write!
3. Make the sales calls.
4. Network with buyers as much as possible.
5. Be active in the right organizations by taking a leadership role. By performing beyond expectations outside the speaking industry, you earn respect and credibility, which flows into your speaking career.
6. Become an expert by practicing your craft (not just your speaking skills), focusing on giving value and by constantly learning.
7. Dress and act the part. Not there yet? Fake it until you make it.
8. Develop and launch new products and services to keep your business current. Learn the discipline of new product and service development.
9. Get back to people right away, and do what you promise.
10. Keep current on office technology to meet market demands.
11. Work the cycle: strategize, build, implement, renew and repeat.

#4 RENEW
Think you’ve been there, done that? Business is constantly changing, so evolve with it. Remember those qualifiers? Business elements that closed sales years ago may only be qualifiers today. If you haven’t changed things in a few years, there’s a good chance your demo video or Web site needs some upgrading.

At the 2004 Phoenix Convention, CSP, CPAE Joe Calloway talked to experienced speakers about Throwing Out the Old to make room for the new. That means reviewing what you did well and what you need to be doing to reach ever-changing markets.

Managing a speaking business is much like managing any other business. Weve owned nine, and excluding products, the basics are the same. If you’re really interested in winning, the key to success in steps 2-4 is defined by how well you strategize in step 1. Once you develop a solid strategy, managing your business is simply following, tweaking and carrying out that plan.
